The monthly data submission cycle โ the heartbeat of the Pulse.
Submit Your Monthly Data
Submitting your data each month is what powers everything else in Fortis Pulse โ your scores, your flags, and your advisory commentary are all built from the numbers you enter. The submission is a guided six-step wizard that walks you through your financial, people, operational, strategic, and transformation metrics, then lets you review before sending it to your advisor. This guide covers the whole flow. ๐ก Tip โ Who can use this Available to all clients. Find it under Submit Data in the left-hand menu. Quick reference | Step | Action | |------|--------| | 1 | Pick a period and enter your financial metrics | | 2 | Work through the remaining steps, then review and submit | Step 1 โ Pick a period and enter your financials Click Submit Data in the sidebar. First, choose the period (month) you're reporting for at the top โ the wizard groups periods into "New" (the current or upcoming month) and "Existing" (months you've already started). The wizard opens on Step 1: Financial Metrics. Enter your numbers for the period โ total revenue, operating expenses, gross profit margin, cash balance, and so on. Fields marked with an asterisk (*) are required to move on. The submission wizard showing Step 1 financial metrics The progress bar on the left shows all six steps: 1. Financial โ revenue, expenses, margin, cash, customer metrics. 2. People โ headcount, hires, departures, engagement, retention. 3. Operational โ delivery on-time, issue resolution, initiative completion. 4. Strategic Priorities โ your "rocks": the top priorities you're advancing. 5. Transformation โ your initiatives and their stage in the pipeline. 6. Review & Submit โ a recap of everything before you send it. ๐ก Tip โ You can bulk-import from a spreadsheet Instead of typing each field, you can drag and drop an .xlsx or .csv file into the import area on the left. Use Download Template first to get a correctly-formatted starting point. The importer matches your columns to the right fields automatically. Step 2 โ Add your strategic priorities, then review and submit Steps 4 and 5 let you add repeatable rows โ for example, each strategic priority (a "rock") gets its own row with a title, owner, status, target date, and completion percentage. Add as many as you need with the Add button, and remove any you don't want. The Strategic Priorities step with repeatable rock rows When you reach Step 6: Review & Submit, you'll see a read-only recap of every metric, rock, and initiative you entered. A coverage preview warns you if any pillars will show partial or missing data based on what you've provided โ this is a soft hint, not a block. When you're happy, click Submit. ๐ Note โ Save a draft and come back later You don't have to finish in one sitting. Save Draft keeps your entries so you can close the page and return later โ your progress repopulates when you reopen the period. โ ๏ธ Warning โ Submitting locks the period Once you submit, that month is locked โ you can't edit it again from your side. Your advisory partner reviews it next. If you realize you made a mistake after submitting, contact your partner to discuss it rather than trying to re-enter the period.
Enter Your Financial Metrics
Step 1 of the data submission wizard collects your financial performance for the period โ the core numbers behind your Results pillar. This guide covers the financial step. ๐ก Tip โ Who can use this Available to all clients, in the Submit Data wizard (Step 1). Quick reference | Step | Action | |------|--------| | 1 | Enter your three core numbers, then optional detail | Step 1 โ Enter financial metrics In the Submit Data wizard, Step 1 (Financial Metrics) asks for your financial results for the period. Only three fields are required โ every owner knows these offhand: - Total Revenue โ total sales or income earned this period, before any costs. - Operating Expenses โ everything it costs to run the business: payroll, rent, supplies. - Operating Cash Balance โ money readily available in your operating accounts. Everything else on this step is optional: - Monthly Recurring Revenue โ subscription or contract revenue per month. Leave blank if it doesn't apply to your business. - Gross Profit Margin (%) โ what's left after direct costs, as a share of revenue. - Revenue Targets Met (%) โ how much of your revenue goal you hit. - New Customers โ people who bought from you for the first time this month. - Customers who stopped buying from you โ regulars who haven't come back. Amount fields format large numbers with thousand separators as you type (1450000 becomes 1,450,000) โ you can type with or without commas. ๐ Note โ You only need the three required fields to submit Optional fields can be left blank, estimated with a range (for example "30โ50%"), or marked I don't track this โ none of them block your submission. Filling them in gives you a more comprehensive score, and we encourage completing everything you can, but a partial submission is always allowed. ๐ก Tip โ What "I don't track this" means Tapping I don't track this on a field tells Fortis you don't currently measure that number โ it's treated as a useful answer, not a mistake or a zero. Your advisor can help you start tracking it, which is often one of the first improvements to come out of the diagnostic. ๐ก Tip โ Match your accounting period Enter the figures that correspond to the calendar month you're reporting on (shown at the top of the wizard). Mixing periods skews your scores and the period-over-period comparison.
Enter Your People & Team Metrics
Step 2 of the data submission wizard collects your organizational health โ headcount, hiring, and morale, plus retention metrics that drive the Systems pillar. This guide covers the people step. ๐ก Tip โ Who can use this Available to all clients, in the Submit Data wizard (Step 2). Quick reference | Step | Action | |------|--------| | 1 | Enter your team numbers โ all optional | Step 1 โ Enter people metrics Step 2 (People) has two groups. Every field on this step is optional โ fill in what you know and skip or mark the rest: Headcount & Engagement: - Total Headcount โ everyone who works for the business, full-time and part-time. - New Hires โ people who joined the team this period. - Departures โ people who left the team this period, for any reason. - Team Morale (your gut, %) โ your own honest read on how the team is doing. Not used in pillar scoring; the retention metrics below drive the Systems pillar. Systems & Retention: - People who left your team (%) โ the share of your team that chose to leave this period. Lower is better. Drives the Systems pillar. - How Long People Stay (avg) โ how long employees typically stay. Higher is better. Drives the Systems pillar. - How long hiring usually takes (days) โ from posting a role to someone starting. Lower is better. Drives the Systems pillar. - Training Hours per Person โ training hours per employee this period. Higher is better. Drives the Systems pillar. ๐ Note โ Optional fields still matter The people fields are optional โ you can leave any of them blank, estimate with a range (for example "6โ10"), or tap I don't track this, and still submit. But the Systems & Retention fields are what the Systems pillar scores from: if you skip them, that pillar will show partial or no data. Filling them in gives you a more comprehensive score, so we encourage completing everything you can. ๐ก Tip โ Track these consistently Retention metrics are most valuable when tracked every period โ trends matter more than any single month. Make entering them part of your regular routine.
Enter Your Operational Metrics
Step 3 of the data submission wizard collects your operational excellence โ delivery reliability and issue resolution, which drive the Operations pillar. This guide covers the operational step. ๐ก Tip โ Who can use this Available to all clients, in the Submit Data wizard (Step 3). Quick reference | Step | Action | |------|--------| | 1 | Enter your delivery numbers โ all optional | Step 1 โ Enter operational metrics Step 3 (Operational) asks for three fields โ every one of them optional: - Orders/deliveries completed on time (%) โ the share of orders, deliveries, or jobs done when promised. - Avg Issue Resolution (days) โ from a complaint or problem appearing to it being fixed. - Plans finished vs planned (%) โ the share of planned initiatives completed this period. Drives the Intelligence pillar alongside your decision data. These feed your Operations pillar score and its diagnostic flags. ๐ Note โ You can skip what you don't track All operational fields are optional โ leave one blank, estimate with a range (for example "75โ100%"), or tap I don't track this, and your submission still goes through. Filling them in gives you a more comprehensive score, so we encourage completing everything you can. If you skip the completion rate, your Intelligence pillar will rely more heavily on your decision data alone. ๐ก Tip โ Be honest about delivery rate The delivery on-time metric directly shapes your Operations score and can raise flags if it drops. An honest number gives you an accurate read on operational health โ gaming it hides problems you'd want to catch.
Add Your Strategic Priorities (Rocks)
Step 4 of the data submission wizard captures your strategic priorities โ the "rocks" your organization is committed to advancing this period. They feed the Focus pillar. This guide covers adding them. ๐ก Tip โ Who can use this Available to all clients, in the Submit Data wizard (Step 4). Quick reference | Step | Action | |------|--------| | 1 | Add one row per strategic priority | Step 1 โ Add strategic priorities Step 4 (Strategic Priorities) lets you add repeatable rows โ one for each priority (rock) you're tracking. For each, enter: - Title (required) โ the priority. - Owner โ who's accountable. - Status โ Not Started, On Track, At Risk, Off Track, or Completed. - Target Date โ when it should be done. - Completion (%) โ how far along it is. Use Add to create more rows and remove any you don't want. The Focus pillar scores partly based on how many of your rocks are on track, so keep these current and honest. ๐ Note โ Rocks drive the Focus pillar The Focus pillar combines your rocks' on-track status with your revenue targets. Stale or off-track rocks will lower your Focus score โ update their status each period to reflect reality. ๐ก Tip โ Focus on your top few Quality beats quantity. Track the handful of priorities that genuinely matter most this period rather than listing everything. Three to five well-chosen rocks is typical.
Add Your Transformation Initiatives
Step 5 of the data submission wizard captures your transformation initiatives โ the projects moving your business forward. They feed the Transformation pillar. This guide covers adding them. ๐ก Tip โ Who can use this Available to all clients, in the Submit Data wizard (Step 5). Quick reference | Step | Action | |------|--------| | 1 | Add one row per initiative | Step 1 โ Add transformation initiatives Step 5 (Transformation) lets you add repeatable rows for each initiative. For each, enter: - Title (required) โ the initiative. - Category โ Product, Process, Market, or Org. - Stage โ Idea, Validating, Building, Launched, or Killed. - Owner โ who's leading it. - Target Launch โ when it should go live. - Investment Hours โ the effort behind it. Use Add for more rows. The Transformation pillar scores based on whether your initiatives are advancing through the stages (progression) and how much you're investing (intensity). ๐ Note โ Stage progression matters most The Transformation pillar rewards initiatives moving forward โ from Idea toward Launched. An initiative stalled at the same stage period after period drags the score. Update stages honestly each period. ๐ก Tip โ Include killed initiatives If an initiative was killed this period, record it with the "Killed" stage โ that's a legitimate outcome (decisive prioritization) and is reflected in the score. Hiding kills doesn't help; accuracy does.
Save a Draft and Come Back Later
You don't have to finish your data submission in one sitting. Save Draft keeps your progress so you can close the page and return later โ your entries repopulate when you reopen the period. This guide covers using drafts. ๐ก Tip โ Who can use this Available to all clients, in the Submit Data wizard. Quick reference | Step | Action | |------|--------| | 1 | Save a draft, then resume later | Step 1 โ Save and resume a draft At any point in the submission wizard, click Save Draft. Your entries for the period are saved, and the period's status stays as "Draft" โ it's not submitted and not locked. When you're ready to continue, return to Submit Data and pick the same period. Your previously-saved entries repopulate across all the steps, so you pick up exactly where you left off. ๐ Note โ Drafts are per-period Each period has its own draft. Saving a draft for July doesn't affect your August draft. Switch periods using the period picker at the top of the wizard. ๐ก Tip โ Use drafts for partial data If you're waiting on a number (say, final month-end revenue), enter what you have, save a draft, and come back once the figure is final. This lets you spread the work across days without losing progress โ just remember that nothing is scored or sent to your advisor until you actually click Submit.
Why a Period Is Locked After Submitting
Once you submit data for a period, that month becomes locked on your side โ the fields turn read-only and you can't edit them. This guide explains the lock. ๐ก Tip โ Who can use this Relevant to all clients who submit data. Quick reference | Cause | What to do | |-------|------------| | Period was submitted | Contact your partner to adjust | Why periods lock When you click Submit, the period's status changes to "Submitted" and the data is locked. This hands the data to your advisory partner for review โ keeping it stable so their scoring and commentary are built on a fixed, unchanging set of numbers. If you reopen a submitted period on the Submit Data page, you'll see a lock indicator and read-only values. ๐ Note โ You can't unlock it yourself There's no client-side "unlock." Once submitted, the period stays locked through the review and publish cycle. This is by design. ๐ก Tip โ What to do if you made a mistake If you spot an error after submitting, contact your advisory partner. They can make adjustments during their review or advise on the best correction. Don't try to work around the lock โ plan to submit only when your data is final.
Import Data from a Spreadsheet (Bulk Upload)
Instead of typing each metric by hand, you can import your data from a spreadsheet. The importer reads .xlsx or .csv files and maps your columns to the right fields automatically. This guide covers bulk import. ๐ก Tip โ Who can use this Available to all clients, in the Submit Data wizard. Quick reference | Step | Action | |------|--------| | 1 | Download the template, fill it, and upload | Step 1 โ Import your data In the Submit Data wizard, the left sidebar has a Bulk Import area. 1. Click Download Template to get a correctly-formatted spreadsheet. 2. Fill in the template with your metrics, rocks, and initiatives. 3. Drag and drop the file (or click to browse) into the import area. 4. The importer reads your file, matches columns (it recognizes common header aliases), and populates the wizard steps with your data. 5. Review the import summary โ it shows how many fields matched, how many priorities and initiatives were found, and any unrecognized columns. Once imported, you can review and adjust the values across the steps before submitting, just as if you'd typed them. ๐ Note โ Recognized headers are flexible The importer accepts common variations of header names (for example, "Revenue," "Total Revenue," or "Monthly Revenue" all map to the same field). But if a header is too unusual, it'll show as an unrecognized column and won't import โ rename it to match the template for next time. ๐ก Tip โ Use the template every time Downloading and reusing the template guarantees your headers match what the importer expects. It's the most reliable way to bulk-import without column- matching surprises.
Download the Import Template
The import template is a pre-formatted spreadsheet that guarantees your column headers match what the bulk importer expects. This short guide covers using it. ๐ก Tip โ Who can use this Available to all clients, in the Submit Data wizard. Quick reference | Step | Action | |------|--------| | 1 | Download, fill, and upload the template | Step 1 โ Use the template In the Submit Data wizard, click Download Template in the Bulk Import area. A spreadsheet file saves to your device with the correct column headers for every metric, rock, and initiative field. Open it, fill in your data for the period, save it, then drag it back into the import area. Because the headers already match, every column maps cleanly โ no unrecognized-column warnings. ๐ Note โ Reuse it each period Keep a copy of the template. Each reporting period, duplicate it, fill in the new month's numbers, and upload. This makes recurring submissions fast and consistent. ๐ก Tip โ Don't rename the headers The template's headers are what the importer looks for. If you rename a header (even slightly), that column may not import. If you need to note something, add a separate notes column rather than editing the standard headers.
Understand the Data Coverage Preview
The Review & Submit step of the submission wizard shows a data coverage preview โ a soft warning that predicts which pillars will show partial or no data based on what you've entered. This guide explains how to read it. ๐ก Tip โ Who can use this Available to all clients, in the Submit Data wizard (Review step). Quick reference | Step | Action | |------|--------| | 1 | Review the coverage preview before submitting | Step 1 โ Read the coverage preview On the Review & Submit step (Step 6), after the read-only recap of your entries, the coverage preview warns you if any pillars will compute as "Partial" or "No data" after you submit. It's a soft hint โ it doesn't block submission, but it helps you catch gaps. If the preview flags a pillar as partial or empty, you can go back to the relevant step (Financial, People, Operational, Priorities, or Transformation) and fill in the missing fields before submitting. ๐ Note โ It's a prediction, not a block The preview predicts coverage based on your inputs; it won't stop you from submitting with gaps. Sometimes partial data is acceptable (for example, you genuinely don't track a metric). Use the preview to make an informed choice rather than to feel forced into completeness. ๐ก Tip โ Aim for full coverage where you can A fully-populated submission gives you the most accurate composite score and the richest advisory. If a pillar is partial, your score for it is less complete โ fill what you can, and accept gaps only where you genuinely lack the data.
What Happens After You Submit
Submitting your data kicks off a chain of events behind the scenes โ the period locks, scores get drafted, and your advisor is notified. Knowing what happens next helps you understand when to expect your scores and commentary. This guide walks through the post-submission flow. ๐ก Tip โ Who can use this Relevant to all clients who submit data. Quick reference | Step | What happens | |------|--------------| | 1 | Your data locks and goes to your partner | | 2 | Pulse AI drafts scores and commentary | | 3 | Your partner reviews and publishes | After you click Submit 1. The period locks and is handed to your advisor. Your submitted data becomes read-only on your side, and the period's status moves to "Submitted." Your advisory partner is notified that there's data waiting for review. 2. Pulse AI drafts an analysis. On the first submission for a period, Fortis Pulse automatically runs a Pulse AI advisor pass that drafts the health scores, diagnostic flags, and advisory commentary. This is a platform service โ it doesn't cost you tokens. You may see a "Pulse AI is analyzing" banner on your dashboard while it runs. 3. Your partner reviews and publishes. What happens next depends on your plan: - Trial plans: the AI draft is published automatically, so you'll see the scores and commentary shortly after submitting. - Paid plans: the AI draft goes to your partner as a draft. They review it, adjust the scores and commentary as needed, and then publish the period. You won't see the advisory until they publish โ this lets your advisor shape the narrative first. ๐ก Tip โ When to expect your commentary On a Trial plan, expect your scores within minutes of submitting. On a paid plan, expect your commentary once your partner has reviewed and published โ normally as part of their regular cadence with you. If it's taking longer than expected, message your partner for an update. ๐ Note โ You can keep using the app While a period is under review, everything else works normally โ you can submit another period, message your partner, view documents, and so on. The locked period simply waits for your partner's review alongside your other activity.
